This article provides general technical guidance for learning purposes. It is not a customer project or case study.

Start with the process

A workflow defines who reviews a document, the conditions for approval and who receives the next task. Dynamics 365 Finance & Operations supports tasks and approval steps for supported document types, such as purchase requisitions or expense documents. Begin by clarifying the decision points rather than configuring the screen.

In an illustrative training scenario, a purchase requisition goes to the responsible manager and requires an additional approval above a defined amount. This is not a customer implementation; it demonstrates how decision rules can be designed.

Design rules and exceptions together

Consider amount thresholds, organisational structure, user roles and task assignments together. Rejected or returned documents and missing approvers also need a defined path. Confirm that the relevant document is supported by a standard workflow type. Requirements beyond that scope may need configuration changes or development.

Testing only the successful approval path is insufficient. Cover different amounts, incomplete information, delegation and permission boundaries. Workflow history can help reviewers understand the steps a document has passed through.

F&O workflows and Power Automate have different roles

F&O workflows focus on documents and tasks within the application. Power Automate can support notifications or approvals across applications using appropriate connectors. Cross-system flows require separate consideration of authorisation, error handling and licensing. Choosing the tool around the process makes maintenance responsibilities and system boundaries clearer.
